The Role is Reporting into the Operations and Logistics team the Logistics Executive will support Portfolio2 delivery through day-to-day coordination follow-ups documentation flow and tracker completeness across shows.
You will be required to travel to events when needed to support the team with on-ground coordination readiness tracking stakeholder follow-up and closeout documentation.
Success will be aligned to the delivery of high quality cost-effective and sustainable event experiences to agreed KPIs and achieving ongoing product improvement reflected in customer satisfaction and NPS scores.
Own day-to-day portfolio coordination follow-ups and documentation flow across shows
Maintain approvals registers deadlines and action logs across departments and vendors ensuring clarity on what is pending and what is complete
Support vendor coordination by tracking commitments chasing confirmations and maintaining structured communication and follow-through
Support travel visa hotel and mobility trackers by ensuring record completeness for execution and coordinating corrections for missing information or documents
Prepare meeting agendas take structured meeting notes and produce readiness packs and updates for internal leadership
Support financial close readiness by coordinating invoice packs supporting documents approval evidence and exception logs with Finance and Procurement
Support payment workflows including PO and non-PO coordination and documentation completeness through SAP processes following internal governance
Troubleshoot coordination issues during peak periods and on show days escalating to senior leads when required and keeping stakeholders informed
Follow a customer-first approach that provides efficient effective and value add service to our vertical and brand teams
Qualifications :
this role is only for a Saudi National.
Strong administrative and coordination experience ideally within events hospitality travel or operational delivery environments
High proficiency in Microsoft Office particularly Excel with strong attention to detail
Confident communication skills able to liaise professionally with internal stakeholders and external vendors
Comfortable supporting procurement and payments workflows (SAP experience preferred)
Willingness and ability to learn and operate tracker-based delivery (Airtable experience preferred; training can be provided)
A team player with the ability to operate effectively under pressure during peak event periods
