Overview
The Corps Program Assistant provides direct leadership and administrative support to the Corps Officers in the daily operations of the Cleveland Temple Corps. This position ensures the smooth efficient and mission-driven delivery of programs community services and facility operations. The Corps Program Assistant functions as the second-in-command in the absence of the Corps Officers maintaining oversight of staff volunteers client services and daily ministry activities in alignment with Salvation Army mission policies and procedures.
Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Represent The Salvation Army in a manner that brings glory to God.
- Assist in every way requested to carry out the spiritual and total mission The Cleveland Temple Corps of The Salvation Army in terms of community needs and our ministry to the people of our community.
- Build relationships and partners to fulfill needs of Cleveland Temple community.
- Attend community events at the direction of the Corps Officers.
LEADERSHIP AND OPERATIONS
- Provide direct leadership and oversight to the day-to-day operational activities of the Corps.
- Ensure facility safety maintenance and Child Safety compliance under KEEPSAFE and Salvation Army policies.
- Establish methods for quality control to evaluate staff performance and ensure high-quality service delivery.
- Work with Corps Officers to resolve operational and programmatic challenges to achieve daily success.
- Serve as manager-on-duty in the absence of the Corps Officers performing necessary administrative and leadership tasks to maintain effective corps functioning.
- Attend community events and represent The Salvation Army at the direction of Corps Officers.
- Secure and complete incident reports and provide follow-up to Corps Officers; coordinate with insurance as directed.
- Provide effective management and enforcement of Human Resources policies and practices including assisting with staff discipline coaching and documentation.
- Coordinate staff scheduling to ensure appropriate coverage and service levels across all programs.
ADMINISTRATIVE RESPONSIBILITIES
- In absence of Corps Officers perform administrative tasks needed to keep Cleveland Temple functioning in an effective and efficient manner.
- Secure incident reports and provide follow-up to Corps Officers as necessary. Contact Insurance Company as directed by corps officers.
- Work with staff on the overall marketing and promotion of the center including flyers and social media posts.
- Drive to DHQ or other designated locations to deliver or pick up correspondence and materials as needed.
- Meet weekly with Corps Officers to discuss current operations upcoming events and staffing concerns.
- Coordinate internal communication between departments to ensure alignment and efficient operations.
PROGRAM COORDINATION
- Provide leadership coordination and coverage for corps programs including:
- After-School Drop-In
- Computer Lab and Open Gym
- Kids Café
- Food Pantry (intake stocking distribution)
- Camp NEOSA
- Vacation Bible School
- Angel Tree Kettles Toy Packing Back-to-School and other seasonal programs
- Ensure programs are properly staffed well-supervised and effectively executed.
- Coordinate transportation and drive participants or materials as needed (including kettle deliveries).
- Assist in planning promoting and marketing corps programs and community outreach events.
- Oversee quality assurance in program execution and adherence to mission standards.
- Work collaboratively with other departments to coordinate activities and share resources.
SUPERVISION
- Corps Program Assistant provides oversight to all the staff employees volunteer and community service workers. This includes seasonal employees and volunteers.
- Corps Program Assistant will supervise the following employees in the absence of corps officers:
- Family Emergency Service Worker
- Recreation Manager
- Receptionist
- Lead custodian
- Oversee the recruitment retention and training of volunteers including Court Community Service participants rendering services to the Cleveland Temple Corps.
- Ensure all volunteers comply with KEEPSAFE policies maintaining accurate documentation tracking and reporting to courts and DHQ.
- Provide ongoing supervision and communication to foster a positive volunteer environment.
FACILITY RENTALS AND EVENTS
- Coordinate and assist with building rentals ensuring coverage and staff presence during events.
- Manage rental paperwork payments and associated administrative documentation in compliance with Salvation Army policies.
- Ensure rental areas are properly maintained secured and cleaned before and after use.
- Maintain communication with rental clients and officers to ensure smooth scheduling and operations.
Qualifications
MINIMUM EDUCATION and/or EXPERIENCE
- High school diploma GED or equivalent; a Bachelors degree is a plus
- Two (2) years or more experience with The Salvation Army programs
- Must possess a thorough working knowledge of and give competent instruction in Salvation Army
- Must be aware of implement and observe all necessary child safety policies (Protecting the Mission).
- Ability to work on Saturdays.
SPECIAL SKILLS CERTIFICATES LICENSES REGISTRATIONS
- Must be able to routinely lift and carry boxes weighing 50 pounds or more
- Proficiency in Microsoft Office (Word Excel PowerPoint) and the ability to learn new software
- Serve safe certified within 60 days
- Valid Ohio State Motor Vehicle Drivers License in good standing
- Ability to drive 12 passenger van and pass the required Salvation Army driving test
