Grants Coordinator

Reports to: Provost
Classification: Part-time 20-25 hours per week 11-month position
Location: Remote work eligible (availability required for virtual meetings during business hours)

Position Summary

The Grants Coordinator supports Spalding Universitys sponsored programs throughout the full grant lifecyclefrom identifying funding opportunities and supporting proposal development to managing compliance and reporting for active grants. This position works collaboratively with faculty staff and administration to strengthen the universitys grant portfolio while ensuring regulatory compliance and institutional accountability.



Qualifications

Key Responsibilities

Grant Research & Proposal Development (Pre-Award)

  • Research and identify funding opportunities from federal state foundation and corporate sources aligned with university priorities and faculty interests
  • Communicate funding opportunities to relevant faculty and staff through targeted outreach and regular updates
  • Support faculty and staff in proposal development including guidance on sponsor requirements proposal structure budget development timeline creation and compliance requirements
  • Assist with proposal preparation activities including document coordination narrative review budget development and submission logistics
  • Maintain awareness of faculty and staff research interests and expertise to facilitate strategic funding alignment

Grant Management & Compliance (Post-Award)

  • Track grant reporting deadlines and assist Principal Investigators (PIs) in preparing and submitting required programmatic financial and performance reports
  • Monitor compliance with Federal Uniform Guidance and sponsor-specific requirements including documentation standards cost allowability and record retention
  • Maintain organized grant files with all required documentation to ensure audit readiness
  • Monitor progress toward grant deliverables and support PIs in meeting scope-of-work obligations
  • Serve as liaison between PIs Finance and external sponsors for grant-related communications and coordination

General Responsibilities

  • Maintain tracking systems and calendars for grant deadlines reporting cycles and compliance requirements
  • Provide guidance to faculty and staff on university grant processes and sponsor requirements
  • Support institutional reporting on grant activity and outcomes
  • Stay current on grant regulations funding trends and best practices in sponsored programs administration

Required Qualifications

  • Bachelors degree required
  • Strong organizational skills with ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills
  • High attention to detail particularly for proofreading editing and ensuring compliance
  • Ability to work independently and collaboratively with diverse stakeholders
  • Proficiency with Microsoft Office suite particularly Excel

Preferred Qualifications

  • Masters degree
  • Experience with grant administration proposal development or sponsored programs in higher education or nonprofit settings
  • Knowledge of Federal Uniform Guidance and grant compliance requirements
  • Experience with grant writing budget development and reporting
  • Familiarity with higher education research and scholarship practices
